Keep all files related to this case. File these as "Need-to-Know, Confidential." Do not allow access to these files unless there is a valid reason.
Remember that these files will be incredibly important if a lawsuit stems from this incident and investigation. Only share these files if required by law to provide them during litigation.
Meet with your company's human resources department to ensure the files include all documents required by your company. Your company's specific policies may require something more than what this course has covered; in general, the files should have the following:
- The initial complaint
- All written communication related to the complaint and investigation
- Notes from interviews
- The final summary
- Copies of any leave of absence notifications
- Other information or evidence collected
- Notifications to parties involved regarding the conclusions of the investigation
- Retaliation memos
